ECT Privacy Policy

L.E.A.D. Teaching School Hub takes your privacy seriously. This privacy notice explains what happens to any personal data that you provide to us, or that we collect from you, as part of the service of providing Appropriate Body Services.

The following is applicable to Early Career Teachers registered with L.E.A.D. Teaching School Hub for Induction:

• What Personal Data is held? Your employing school will provide the Appropriate Body (L.E.A.D. Teaching School Hub) with the following information on the ECT Registration form, on your behalf: Name, date of birth, address, email, telephone number/s, teacher reference number, teacher training provider/qualifications, QTS award, employing school, contract details, previous schools (if applicable) and induction assessment data.

• How will the data be stored? ECT Manager, owned by Evolution Internet Ltd is a UK hosted web based system used by Appropriate Bodies for the management of ECT Induction. The database is backed up to two sites every six hours and on a rolling 14 day basis. Data is encrypted and stored securely.

• What is the legal basis for the collection, use and storage of the data? L.E.A.D. Teaching School Hub, acting in its role as the Appropriate Body for ECT Induction uses data to check induction eligibility, accurately record updates on the Teaching Regulation Agency website and to support/advise the teacher during their induction. Data will also be used in rare cases where an ECT lodges an Appeal with the Teaching Regulation Agency against a decision made by the Appropriate Body. Data gathered during the ECTs induction will be used in response to the Appeal and at the Appeal Hearing, as defined in the relevant Induction Appeals Procedure.

• Give details of how long the data will be stored and criteria used to determine this? Personal data will be used for the duration of the teachers ECT induction programme. Thereafter, data pertaining to induction, irrespective of whether you complete the full induction programme with us, will be archived on the ECT Manager system for 6 years; as defined in the Statutory Guidance, Induction for Early Career Teachers (England). After 6 years, all data will be permanently deleted from ECT Manager and will be fully deleted from all database backups after 14 days.

• Who will it be shared with and for what purpose? The Teaching Regulation Agency for the purpose of registering you on an Induction programme, terms completed, for the recommendation of completion and if necessary in response to and at an induction appeal hearing. Other ECT appropriate Bodies for Induction, if you change Appropriate Body during your induction period. AB Teaching School Hub partners in Lincolnshire as applicable, for the purpose of personalised support, planning training and other statutory functions, such as statutory moderation. Evidence files may be reviewed by the Appropriate Body on an Induction Quality Assurance visit.

• How can the service user get access to it? ECT Manager users can access the website via their personal login at any time and see/download and amend personal data held on them.

• State whether any data is to be transferred outside the EU? ECT Manager is hosted and backed up in the UK. No data will be transferred outside the UK. • Is processing based on consent? Your employing School will have agreed prior consent with you to use and share data with the Appropriate Body (L.E.A.D. Teaching School Hub Lincolnshire). The data supplied to the Appropriate Body is necessary for compliance with a clear and precise legal obligation to enable you to serve your statutory ECT Induction. Choosing not to share this data with the Appropriate Body will result in you being unable to serve your statutory induction period.

• You have a ‘right to be forgotten’ so you can ask for your personal information to be deleted where: It is no longer needed for the reason why it was collected in the first place. You have removed your consent for us to use your information and we do not have to keep your information for legal reasons as defined in the statutory guidance, Induction for Early Career Teachers (England). If we have shared your personal information with others, we will do what we can to make sure those using your personal information comply with your request for erasure. We may not be able to delete your personal data if it is needed for legal reasons.

• What other rights does the service user have that we have to make known to them?
